Legal Administrative Assistant

To perform administrative duties for attorneys in the Financial Services Group; the position requires familiarity with legal documents, terminology and procedures, excellent secretarial skills, attention to detail and accuracy in executing assignments; excellent organizational and time management skills and the ability to multitask in various functions; effective communication (oral & written) and interpersonal skills; computer skills, positive outlook and able to partner with team members.

Essential Duties:

  • Provide confidential administrative support to attorneys
  • Perform a wide variety of typing assignments requiring knowledge of legal terminology
  • Drafting legal documents and correspondence
  • Preparation and filing of legal documents with government agencies and regulatory bodies in accordance with statutory and/or regulatory requirements
  • Filing of correspondence and other records according to established procedure
  • Preparation of notices, minutes and resolutions
  • Transcribe notes from meetings
  • Enter billable time for attorneys in TABS
  • Prepare and assist with monthly invoicing
  • Open, save and distribute incoming documents and correspondence
  • Filing and retrieving of documents
  • Work cooperatively with other employees, clients, government agencies and regulatory bodies

Other:

  • Experience working in a legal environment
  • Experience with Business license application and registration with National Insurance
  • Experience with the Department of Immigration
  • Adept in the preparation of administrative correspondence
  • Proficient in the use of Microsoft Word, Excel, Outlook and Power Point
  • Good working knowledge of filing systems, document database systems, general office procedure, and use of office equipment

Required Qualifications:

  • Minimum Associate’s Degree or Paralegal Certificate
  • Must have minimum of three years’ in similar role
  • Must be conscientious, thorough, organized, efficient and extremely detail oriented
  • Must be able to recognize and execute time sensitive transactions
  • Must have excellent time management skills and the ability to multi-task and prioritize work
  • Must have good client liaison skills
  • Must have excellent oral and written communication skills
  • Require minimum supervision
